Position Overview

The Islamic Center of Passaic County (ICPC) is seeking a highly organized, proactive, and detail-oriented Evening Program Administrator to support the planning, coordination, and execution of community programs and events.

This role is central to ensuring that ICPC’s educational and community initiatives are delivered with excellence, professionalism, and ihsan (excellence in conduct and service). The ideal candidate will demonstrate strong administrative, technical, and interpersonal skills, along with a commitment to fostering a welcoming, well-coordinated, and spiritually uplifting environment for speakers, attendees, and volunteers.

Key Responsibilities

1. Event & Program Coordination

Pre-Event Planning

  • Coordinate with speakers to confirm all program details, including:
    • Date, time, and recurrence schedule
    • Program format (lecture-style, workshop, or classroom-style)
    • Materials and setup requirements
  • Oversee logistical preparations:
    • Seating arrangements (chairs, tables, classroom layouts)
    • Audio/visual setup (microphones, TVs, presentations, Slido integration)
    • Backdrops, tablecloths, and ICPC branding materials
  • Arrange refreshments (tea, coffee, snacks) and coordinate supply orders
  • Develop and finalize event materials:
    • Flyers and promotional graphics
    • Registration forms
    • WhatsApp groups (as needed for communication)

Community Engagement & Communication

  • Communicate with registrants:
    • Send confirmations, reminders, and updates
    • Provide clear instructions and respond to inquiries in a timely manner
  • Manage registration processes:
    • Track attendance and approvals
    • Maintain accurate participant records
  • For recurring programs:
    • Ensure consistent communication cadence
    • Share weekly updates, including topics and speaker information

2. On-Site Event Execution

  • Arrive in advance of scheduled programs to oversee setup and readiness
  • Serve as the primary on-site point of contact for:
    • Speakers
    • Volunteers
    • Attendees
  • Ensure all logistical elements are functioning properly:
    • AV systems tested and operational
    • Seating and materials arranged appropriately
  • Welcome and assist attendees, ensuring a professional and hospitable environment
  • Troubleshoot issues in real-time with composure and efficiency

3. Post-Event Responsibilities

  • Oversee breakdown and cleanup of event spaces
  • Ensure proper storage of equipment and materials
  • Track attendance and compile basic event reports as needed
  • Gather feedback from participants and team members to improve future programming

Qualifications & Skills

  • Strong organizational and multitasking abilities
  • Excellent verbal and written communication skills
  • Proficiency with basic technology and event tools (e.g., Google Workspace, AV systems, registration platforms)
  • Ability to work independently and take initiative
  • Strong problem-solving skills and attention to detail
  • Comfortable working evenings and weekends on a regular basis
  • Prior experience in event coordination, administration, or community programming preferred

  • Manage registrations, attendee communication, and weekly program updates
  • Oversee on-site event execution, including AV, seating, and hospitality
  • Support event promotion via email, social media, and WhatsApp
  • Ensure smooth setup, breakdown, and overall program excellence

Qualifications:

  • Strong organizational and communication skills
  • Tech-savvy with basic AV and administrative tools
  • Ability to work independently during evenings and weekends
  • Prior event or administrative experience preferred
