Position Overview: The Islamic Center of Passaic County is seeking an organized and proactive Administrative Assistant to support the daily operations of the center. This role involves a variety of administrative tasks, including assisting in managing the weekend school, coordinating community programs, and providing essential support to teachers, students, and the leadership team. The ideal candidate will be detail-oriented, with excellent communication skills and a commitment to creating a welcoming environment for the community.
Key Responsibilities:
- Daily Operations Support:
- Assist in managing the daily operations of the Islamic Center, ensuring a well-maintained, safe, and welcoming environment for all visitors.
- Coordinate with the maintenance team to promptly address any facility issues.
- Answering telephone calls, returning voice messages forwarding messages to appropriate parties
- Weekend School Administration:
- Process student registrations and tuition payments
- Maintain accurate records of student attendance, enrollment, and performance.
- Organize and facilitate parent-teacher meetings and student assessments.
- Communicate with parents regarding program updates, schedules,
- Provide support to teachers in the classroom, ensuring they have the necessary resources
- Foster positive relationships with students to enhance their learning experience.
- Manage the inventory of educational materials and supplies, ensuring they are well-stocked and accessible.
- Community Program and Event Coordination:
- Assist in planning, organizing, and executing community programs and events, including educational and social activities.
- Coordinate logistics for educational classes, community events, and special programs.
- Work closely with program leads to ensure all programmatic needs are met.
- Manage the use of center facilities for events and programs, ensuring proper scheduling and coordination.
- Administrative Support:
- Provide administrative support to the Islamic Center’s leadership team, including scheduling meetings, managing correspondence, and maintaining records.
- Serve as the primary point of contact for program inquiries, providing information and assistance to community members.
- Identify opportunities for program improvement and assist in implementing changes to enhance the effectiveness and impact of the Islamic Center’s initiatives.
- Perform other duties as assigned by the leadership team.
Qualifications:
- High school diploma or equivalent; an associate’s degree in administration or a related field is preferred.
- Experience in an administrative role, preferably in an educational or community-based setting.
- Strong organizational and multitasking skills with attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and other administrative tools.
- Ability to work collaboratively in a diverse community setting.
- Understanding of and commitment to the values and mission of the Islamic Center.
Working Conditions:
- Ability to work weekends and evenings as required to support the weekend school and community events.
- Ability to handle physical tasks such as setting up for events and managing supplies.
