The ICPC Ihsan Academy is seeking a highly organized and proactive Program Coordinator to oversee the daily operations and academic coordination of our Nooraniya, Tahfeez, Tajweed, and Islamic Studies programs. This position plays a central role in ensuring program excellence, smooth operations, and strong communication between leadership, teachers, and parents.

Works Closely With: Team Leads, Teachers, Parents, and Administrative Staff
Position Summary
The Program Coordinator is responsible for managing the day-to-day operations of the Ihsan Academy, ensuring effective program delivery, accurate student tracking, and strong communication across all stakeholders. This role supports teachers, coordinates schedules, monitors student progress, and helps maintain a structured, efficient, and welcoming learning environment.
Key Responsibilities
Program Operations & Coordination
- Oversee daily operations of Ihsan Academy programs
- Coordinate teachers, schedules, and program logistics
- Ensure accountability and smooth implementation of academic plans
- Support leadership in executing program goals and improvements
Academic Program Support (Nooraniya, Tahfeez, Tajweed & Islamic Studies)
- Monitor curriculum progress and support teacher needs
- Ensure proper student placement in classes and levels in coordination with the team leads
- Manage scheduling systems and teacher-student assignments
- Maintain optimal teacher-to-student ratios in coordination with the team leads
- Conduct regular check-ins with teachers and address concerns
Student Records & Enrollment
- Manage student registration, enrollment, and onboarding
- Maintain attendance, academic progress, and memorization records
- Track student retention and performance data
- Track tuition payments and reconcile registrations with payments
- Maintain accurate records of program financial assistance requests and recipients
Parent & Teacher Communication
- Serve as primary liaison for parent inquiries and updates
- Communicate attendance, scheduling changes, and student progress
- Organize parent-teacher meetings and support student evaluations
- Ensure timely and professional communication across stakeholders
Marketing, Engagement & Feedback
- Capture photos and videos of student testing, classroom activities, and program highlights (in accordance with ICPC policies)
- Support the dissemination of approved content across ICPC social media platforms
- Assist in promoting Ihsan Academy programs and strengthening community engagement
- Create, distribute, and track parent surveys, teacher surveys, and year-end program evaluations
- Compile and analyze survey feedback to provide actionable insights for program improvement
Administrative & Operational Support
- Support daily center operations and ensure a safe, organized environment
- Answer and route phone calls and messages appropriately
- Coordinate with maintenance and facility teams as needed
- Support Ihsan Academy operations, including tuition processing and supply management
Qualifications
- Experience in education, administration, or program coordination preferred
- Strong organizational and multitasking skills
- Excellent communication and interpersonal abilities
- Ability to manage multiple stakeholders effectively
- Proficiency with scheduling and record-keeping systems
- Professionalism, reliability, and attention to detail
- Familiarity with Islamic educational environments is a plus
